Job Description

Role: Operations Coordinator Location: Accrington - Hybrid working in head office minimum 2 days a weekSalary: up to £26,000 - £27,000This is a temporary role with a view to become permanent Tailor made are thrilled to be recruiting for a reputable health and social care company in Accrington who are seeking an Operations Coordinator to join their busy team.You will be responsible for providing comprehensive operational support to ensure the day-to-day operations runs smoothly. The position will help manage and develop organisational infrastructure by assisting with operational activity. This role also worksclosely with the Senior Leadership Team in evaluating current systems and aligning business objectives with strategy as well as supporting specialist staff in the overall day-to-day operational administration including IT, human resources, building maintenance,health and safety, marketing, and finance.The role:

  • Set up new starters across IT systems and People platforms and train all personnel in use of IT and equipment
  • Monitor any issues and review processes in consultation with the People Manager and Operations Manager
  • Responsible for all organisational hardware and equipment and ensure that personnel have the kit they need and that it is fit for purpose
  • Liaise with existing and prospective equipment suppliers/providers to ensure efficiency in technology across Advocacy Focus offices, and supporting the Operations Manager with managing outgoing suppliers and contracts where we cease business.
  • Oversee the implementation of new IT and Telecoms arrangements and developing and reviewing associated policies and procedure in conjunction with the Operations Manager and Services Director
  • Troubleshooting technical difficulties with equipment and escalating to IT support provider, if necessary
  • To manage audio-visual equipment at team meetings and training
  • Test and evaluate new technology
  • To keep password storage systems up to date on SharePoint
  • Work with the Finance Administrator to secure cost-effective equipment solutions for the team and organisation
  • Act as "Responsible Person" for Health & Safety in the organisation.
  • Keep informed of relevant Health & Safety updates that may affect the organisation and take steps to ensure we are compliant with legislation and adhering to best practice
  • Complete individual risk assessments for taking on young people for work experience.
  • Identify and facilitate any essential H&S and First Aid training for staff in liaison with the Training Manager.
  • Carry out regular fire alarm tests and drills at Head Office and inform staff what fire alarm tests are in place at other Advocacy Focus offices.
  • Sourcing new office premises/ workspace/ storage solutions and negotiating rates to fit the required brief
  • Facilitation of any changes to company premises (including consulting relevant staff in conjunction with the People Manager)
  • Liaise with building managers to resolve any issues and ensure compliance
  • Monitor utility usage & bills and identify and implement appropriate cost-saving measures where relevant
  • To supervise and line manage student work experience and apprenticeships within the operations team, where deemed the most appropriate person
  • Oversee logistics for events and activities, including conferences
  • Oversee all room/desk booking systems and ensure that the head office layout is working efficiently
  • Prepare for team meetings in liaison with the People Manager. Ensuring that all documentation and presentation information is uploaded or organised in advance of the meeting.
  • Ensure legal compliance and handle confidential information with discretion.
About you:
  • Experience working in a similar role as an Office Manager, Operations Administrator, Facilities coordinator
  • Experience in administration is essential
  • Strong problem solving and organisational skills
  • Strong system skills eg Microsoft office
