Job Description

Our client, based in Altens, is currently seeking a Maintenance Coordinator to join their onshore based office support team. The position will be a mix of office working but with the added flexibility of working remotely at times.The Maintenance Coordinator role will provide onshore support for one of our major contracts. They role involves managing the offshore HVAC Technicians, supporting maintenance across the assets, processing of material requests and material procurement, planningoffshore work scopes, and providing clients with technical and administrative support. The Maintenance Coordinator will also be required to support the offshore maintenance team with basic technical queries and will liaise on all maintenance related matters.Roles and Responsibilities:

  • Provide technical support to field engineers/technicians on daily maintenance activities
  • Problem solve and provide solutions to faulty, ageing and obsolete equipment
  • Input to offshore planning and resource scheduling including preparation of mobilisation forms
  • Liaise with key clients to educate and inform them of maintenance activities
  • Assist in the creation of work-scopes for offshore technicians and to ensure they are fully briefed prior to mobilisation
  • Review trip reports, daily logs, and compile technical reports and client recommendations
  • Source and purchase materials and equipment
  • Deal with urgent heli-freight requests including sourcing materials and arranging heli-freight authorisation
  • Record all data related to contracts, including timesheets, quotations, tender/contract reviews and client purchase orders etc on a daily basis
  • Ensure various Spreadsheets and equipment status trackers are in place and updated as required
  • Interrogate client databases to extract information (where applicable) to schedule maintenance trips and resolve technical issues
  • Ensure all personal protective equipment is available prior to carrying out tasks
  • Liaise closely with stores personnel where materials are expected to arrive. All materials to be checked and accepted before these can be taken into stock. Arrange for the return of any damaged items with stores personnel.
  • Liaise closely with stores personnel where materials are expected to depart. Ensure that all materials which require dispatch are planned in advance with stores.
  • Check that materials are correctly selected, packaged/labelled, inspected/tested/calibrated as per client instructions and despatched in a timely manner using suitable carrier
  • Observe the companies and clients Quality Management System (QMS) at all times, in particular, working procedures to ensure that all tasks are carried out in accordance with these
  • Carry out any necessary training as required by the company to improve skills and techniques. Ensure that any specialised certification i.e. BOSIET, MIST, medical etc remain up to date and valid at all times
  • Keep up to date with the latest industry and company standards, and ensure compliance at all times
Required Skills and Experience:
  • Technical background in HVAC
  • A team player with strong verbal and written communication skills
  • Self-motivated, client focused, have the ability to work unsupervised and be able to exercise initiative to resolve problems
  • Able to meet deadlines through good time management and allocation of priorities
  • Commercially aware
  • Willing to travel offshore as/when required
  • Demonstrate a personal commitment to Quality, Health, Safety and the Environment
  • Must have strong administrative and computer skills
  • Good working knowledge of Microsoft Office packages (MS Word, Excel, PowerPoint)
  • Hold a full UK driving licence
Desirable:
  • A minimum of 1-2 years experience in an offshore environment
  • A broad knowledge of HVAC and refrigeration components and spares
  • HNC or N/SVQ L 2/3 in HVAC, mechanical, electrical or building services engineering
  • Good working knowledge of computerised maintenance management systems (CMMS) i.e. Maximo, SAP, etc
  • Basic knowledge of Local Exhaust Ventilation (LEV) systems and testing
  • City and Guilds 2079 Level 2 Award in F-Gas and ODS Regulations including industry experience
  • Valid BOSIET, MIST & OGUK Medical
