Venesky-Browns client, a public sector organisation in Aberdeen, is currently looking to recruit an Executive Officer for an initial 6 month contract on a rate of £141/day (inside of IR35). Due to the current circumstances this role will be remote based forthe foreseeable future.Responsibilities:- Contact point and co-ordinator for senior colleagues correspondence, proof reading responses and checking for consistency with previous correspondence, bringing any errors or inconsistencies to the attention of drafting officials, and ensuring responsesare dispatched within deadlines.- Maintain a complaints tracker and associated records, ensuring that the minimum requirements for data recording are met, and publishing complaints statistics quarterly, with a parallel performance report for the Executive Leadership Team (ELT). - Take lead responsibility for gathering information on actual, planned and proposed expenditure and entering it on the relevant spreadsheets in time for monthly finance meetings; investigating unexplained items; taking an active part in monthly and other budgetmeetings as required; and working with Head of Private Office and Finance colleagues as necessary on budget forecasting.- Compile a monthly update to Board Members including items that will be of interest to the Board. Provide assistance as and when required such as publish Agenda and Papers on the website, issue papers for Board Seminars, Board Meetings, etc- Provide PA support to the Chief Executive (CE), Deputy Chief Executive & Director of Policy, Science and Operations and Deputy Chief Executive & Director of Strategy and Corporate Affairs in the absence of their PS/PA. This also involves providing secretariatsupport to the ELT meetings when the PS is on leave or away on business.- Provide general administrative support to the Office and Board as and when required (travel and accommodation bookings, arranging various meetings, issuing meeting invites, collating and issuing various meeting papers). Provide PA support to the CEO and DeputyCEOs in the absence of their PAs.Essential Skills:- Strong communication and interpersonal skillsability to work as part of a team, as well as demonstrating confidence and tact working with internal and external stakeholders at all levels.- Excellent organisation skills to manage your workload, balancing the needs of the regular requests for advice and support, and the collation of robust information from variety of Information Legislations sources to ensure regulatory obligations are met.- Ability to contribute ideas and energy towards the promotion of information legislations to wider audiences.- Knowledge of, or a willingness to learn, financial management including the monitoring and controlling of expenditure.If you would like to hear more about this opportunity please get in touch.
